Job Description:

The Contractor Care & Recruitment Administrator serves as the primary liaison between our organization, contract professionals, and internal recruitment teams.

We can consider this as a full time or Part time job share

This role ensures a seamless onboarding, active engagement, and offboarding experience for all contingent workers, while providing essential administrative support to the talent acquisition team.

The ideal candidate combines exceptional customer service skills with high attention to detail and strong process management.

Key Responsibilities

Contractor Experience & Support

• Serve as the main point of contact for contractors throughout their assignment lifecycle, answering inquiries regarding payroll, benefits, policies, and contract extensions.

• Conduct structured check-ins (Day 1, 30-day, quarterly) to monitor contractor satisfaction, engagement, and assignment progress.

• Manage contractor offboarding, exit surveys, and talent redeployment initiatives for high-performing contractors finishing assignments.

Onboarding & Compliance

• Manage end-to-end contractor onboarding, including background checks, right-to-work verifications, NDA execution, and compliance documentation.

• Coordinate system access, IT equipment dispatch, and orientation schedules with client hiring managers and internal IT teams.

• Ensure all active contractor files remain 100% compliant with company standards and labor regulations.

Recruitment & Operations Administration

• Draft and format job descriptions, post listings across job boards, and schedule interviews for the recruitment team.

• Maintain data integrity across the Applicant Tracking System (ATS) and Vendor Management System (VMS).

• Process contractor timesheets, invoice approvals, and expense reports in coordination with Accounts Payable/Payroll.

Qualifications & Requirements

• Experience: 1–3 years in HR administration, recruitment operations, contractor care, or customer support (agency recruitment experience is a plus).

• Technical Skills: Proficiency with ATS/VMS platforms and MS Office 365 

• Compliance Knowledge: Basic understanding of contractor engagement models 

• Soft Skills: Outstanding written and verbal communication, high emotional intelligence, and strong problem-solving skills.

• Organization: Ability to multitask, prioritize tasks under tight deadlines, and handle sensitive, confidential data discreetly
